Administrative Assistant

Job Overview:

The Administrative Assistant of the Operating Room use clerical and organizational skills to keep the operating room department running efficiently. Duties include but not limited to greeting patients, co-workers, physicians and vendors. Operating the telephone system to route incoming calls and place outgoing calls. The Administrative Assistant must have working knowledge of medical terminology, along with confidentiality of medical record information.

Qualifications:

Required:

• High School graduate or equivalent
• At least one year experience in medical related field
• Ability to use Microsoft Officesuite

Preferred:

• Experience with Surgical Information systems preferred
• Office and computer skills such as phone correspondence
• Excellent oral, written and organizational skills

Scheduling Requirements:

• Monday-Friday 7:00am-3:30pm

Essential Functions:

• Provides front desk support at Operating front desk, answers phones, schedules, add on cases, updates stakeholders re delays etc
• Assists in PI data collection as needed
• Ensures vendors and students sign in and are in correct attire
• Ensures IT devices are charged for physicians to use
• Comfortable in using computers
• Book cases as needed
• Print schedules and distribute as instructed
• Compile on call lists and distribute as instructed
• Provide secretarial support, makes flyers etc
• Orders office supplies and forms as needed
• Call into OR to get updated time information
• Communicates effectively with all team members
• Works under supervision of Charge nurse
