Job Overview:

Provides hands on supervision in running the day-to-day operation for designated team. Functions in a leadership role handling both routine and complex issues and problems in area of responsibility. Recognizes the purpose of employment is to prioritize the patient as number one, and to put forth the utmost quality in duties performed as Team Supervisor. This is a working supervisor role; employee is expected to regularly execute job duties required of the team he/she oversees. Provide coverage as needed within own area of responsibility.

Qualifications:

Required:

  • Associates Degree or equivalent
  • Knowledge of medical terminology and outpatient clinic flow
  • Willing to obtain bachelors and start within 2 years of hire date

Preferred:

  • Previous hospital experience with financial background required, with some supervisory experience preferred

Essential Functions:

  • Supervises all patient registration, medical records and scheduling functions to include:
    • Ensures appropriate co pay collection and maintains accurate record of facility and MD office collections
    • Demonstrates competency in assisting patients/families, staff and providers regarding issues related to scheduling, registration, financial responsibility
    • Ensures appropriate patient in take process is followed paying particular attention to insurance information and required referrals
  • Collaborates with other Team Supervisors ensure smooth patient flow. Maintains workflow continuity despite unexpected interruptions. Communicates delays to appropriate counterpart and oversees any rescheduling responsibilities. Maintains workflow continuity despite unexpected interruptions. Communicates delays in real time to patients in the waiting room if applicable
    • Supervision, training and scheduling of administrative personnel
    • Responsible for orientation of new employees. Coordinate in- servicing of staff to the computer systems using knowledge of necessary systems
    • Evaluates and objectively reviews job performance of direct reports
    • Reports problems relating to staffing, morale, work methods and procedures to Practice Administrator
  • Collaborates with housekeeping, maintenance, facility operations, IT, telecommunications and other such departments to ensure all equipment issues, both on-site and remote, as well as applicable physical facility related issues are resolved in a timely manner
  • Thinks independently in order to create sound, logical decisions. Does not hesitate to make required decisions and accepts responsibility for those decisions. Demonstrates good interpersonal skills by relating to all levels of staff and establishing a good rapport and professional working relationship:
    • Dealing with all medical staff, administration and ancillary services in a fair and equitable manner
    • Understanding and using diplomacy in demanding situations
    • Continually working as part of the team
    • Maintains a professional and mature demeanor at all times
    • Demonstrates ability and judgment in working with people. This includes routine interactions with patients, families and physicians
  • Performs other departmental duties as prescribed by administration.
    • Work over scheduled time when required
    • Assists in the performance of other non- technical duties within the department.
    • Perform other duties as needed
    • Performs all duties in a friendly and courteous manner assisting Physicians, patients, families, visitors and co-workers
    • Extends courtesy and consideration to others in all interpersonal relationships, including telephone contact
